Scorepad Refund & Cancellation Policy
This Refund & Cancellation Policy (“Policy”) governs all financial transactions executed through the Scorepad mobile applications and web portals operated by Koll Corp Services Pvt. Ltd (“Scorepad,” “Koll Corp,” “we,” “us,” or “our”).
Scorepad operates as a multi-sided technology platform and payment intermediary connecting Players, Tournament Organizers, Merchants, and Sponsors. Every transaction facilitated through Scorepad represents a direct contractual engagement between the paying party and the receiving party.
1. General Principles & Scorepad Commission Policy
1.1 Non-Refundable Platform Fees
Scorepad charges a technology, platform, and facilitation commission on every transaction processed through the Platform. Under no circumstances will Scorepad refund, waive, or reverse its platform commission fees.
1.2 Liability for Platform Commission Upon Refund
In the event that a receiving party issues or approves a refund to a paying party for any reason—whether pursuant to a written agreement, event cancellation, defective merchandise, failure to execute deliverables, or the receiving party’s own volition:
- Receiving Party Strict Liability: The receiving party (the party that originally received or was designated to receive the payment) is strictly liable for paying and making whole Scorepad’s full platform commission.
- Full Payer Refund: The paying party must receive the full refund amount agreed upon or mandated under the governing contract, without deduction of Scorepad’s fee, unless the parties' underlying contract explicitly allocates platform transaction losses to the payer.
- Commission Deduction & Indebtedness: Scorepad will deduct the applicable commission from the receiving party’s active escrow balance, connected account balance, or future payout distributions. If remaining balances are insufficient, the receiving party remains directly indebted to Scorepad for the unpaid commission balance.
2. Escrow Mechanics & Processing Timelines
Where technically and operationally feasible, Scorepad holds transacted funds in escrow (via our integrated payment service provider connected accounts) until the receiving party satisfies its contractual performance obligations.
- Escrow Refund Processing Window: If a refund is initiated, approved, or mutually agreed upon while funds are still held in Scorepad’s escrow, Scorepad will process and release the refund within three (3) business days of receiving valid authorization or dispute resolution confirmation.
- Settlement After Release: Once funds have cleared Scorepad’s escrow and have been paid out to the receiving party's external bank account, any subsequent refund must be processed directly through the receiving party’s connected payment account, subject to standard banking clearance windows (typically 5 to 10 business days).
3. Transaction-Specific Refund Rules
| Transaction Type | Paying Party | Receiving Party | Escrow Trigger / Release Point |
|---|---|---|---|
| 1. Tournament Registrations | Player | Organizer | Post-event completion |
| 2. Marketplace Merchandise | Player | Merchant | Valid shipment tracking/delivery |
| 3. Tournament Sponsorships | Sponsor | Organizer | Valid proof of deliverables upload |
3.1 Tournament Registrations (Players to Organizers)
- Contractual Basis: Tournament entry fees are paid by Players directly to Organizers. The terms of cancellation, weather delays, format changes, and refund eligibility are defined exclusively by the Organizer's published event policy.
- Event Cancellation / Rescheduling: If an Organizer cancels a tournament without rescheduling or fails to host the event, the Organizer must authorize an immediate refund of player entry fees.
- Organizer Commission Liability: Because Scorepad’s commission is non-refundable, the Organizer is directly liable for covering Scorepad’s technology fee. The Player receives their full eligible refund, while the fee amount is charged against or deducted from the Organizer’s account.
- Player Withdrawals: If a Player voluntarily withdraws from a tournament, any refund is subject to the Organizer’s stated withdrawal deadlines. If approved while entry fees remain in escrow, Scorepad will remit the net player refund within 3 business days, charging the commission liability to the Organizer.
3.2 Marketplace & Drop-Shipping Purchases (Players to Merchants)
- Contractual Basis: Purchases of golf clubs, apparel, tournament goodies, and accessories are direct commercial sales made by independent Merchants (sellers of record) to Players.
- Escrow Release: Funds paid by Players are held in escrow and released to the Merchant only upon the provision of valid carrier tracking or proof of delivery.
- Damaged, Defective, or Undelivered Goods: If a Merchant fails to dispatch the order, or if the product arrives damaged or defective, the Merchant must replace the item or issue a full refund.
- Merchant Commission Liability: If an order is canceled or refunded, the Merchant is liable for Scorepad’s marketplace commission. The Player receives a full refund of their purchase price within 3 business days if canceled while in escrow.
3.3 Sponsorship Agreements (Sponsors to Organizers)
- Contractual Basis: Sponsorship packages represent bilateral contracts between corporate Brands/Sponsors and Tournament Organizers.
- Deliverable Verification in Escrow: Scorepad holds sponsorship disbursements in escrow until the Organizer submits verifiable proof-of-performance assets via the app (e.g., photo evidence of branded tee signage, banners, car displays, or clinic execution).
- Failure of Deliverables / Cancellation: If the Organizer fails to host the event, fails to provide the required on-course signage, or fails to upload satisfactory proof of deliverables, the sponsorship payment will be refunded to the Sponsor.
- Organizer Commission Liability: In the event of a sponsorship refund, the Organizer remains liable for Scorepad’s sponsorship platform commission. When the refund is authorized while funds reside in escrow, Scorepad will release the funds back to the Sponsor within 3 business days.
4. Refund Initiation & Dispute Procedure
- Direct Resolution: Because contracts exist directly between the participating parties, buyers and payers should first submit refund requests directly to the respective Organizer or Merchant through the Platform's messaging or management interface.
- Escrow Intervention Requests: If a receiving party fails to respond within 5 business days or disputes a non-performance claim, either party may escalate the matter to [email protected]. Scorepad’s compliance team will review platform logs, tracking records, and submitted proof of deliverables.
- Escrow Refund Execution: If Scorepad determines that contractual obligations were not fulfilled while funds remain in escrow, Scorepad will issue the refund to the original payment method within 3 business days of that determination.
- Chargebacks and Unauthorized Disputes: Initiating a fraudulent payment dispute or bank chargeback outside the Platform violates our Terms of Service. If a chargeback occurs, the receiving party is assessed the disputed amount plus third-party gateway chargeback penalties, while Scorepad retains its earned transaction commission.
